V4 connects your Workspace data to your project, so your Teams, Tasks, and Labels stay in sync wherever your work happens. This guide walks through how teams are moving their Projects to v4 and how to make the switch on your own timeline.
Preparation

Review all the documentation so you're prepared for what will happen throughout the process

Review the v3 Workspace (or Workspaces) that holds the data you want to bring over

Clean up your Categories and Labels — remove any duplicates

Decide whether you want to keep images and other embedded materials, such as SharePoint portals, backgrounds, Boards, and Tables
- Duplicate your Workspace so you have a backup before you start
Turn on V4 Sync

Reach out to Support@Hoylu.com so they can enable v4 sync for your Project

Open the v3 Workspace you want to sync

Click the down arrow to the right of the Workspace title

Click “Sync local data with project…”

Follow the steps to sync your Workspace data, resolving any conflicts in your Teams, Categories, Labels, and Variance Reasons, until the window closes
- Your Workspace data is now uploaded to the Project. From here, choose one of the two paths below:
Path A:
Build a new v4 Workspace and import your Project Tasks into a new Plan
Choose this path if you'd rather start your v4 Workspace fresh.

Create a new Workspace

Title your Workspace and set your preferred permissions and make sure it is associated to the correct Project environment

Close the Sharing Permissions window

Click the down arrow to the right of the Workspace Title

Click “Control Center”
- Above the Control Center sections, click the switch to convert the Workspace from v3 to v4

Review the new secondary Control Center on the right to see your Project data — Labels, Teams, Variance Reasons, and the new Calendars

Close the Control Center windows

Click the down arrow to the right of the Workspace title

Click “Create plan from project tasks…”

Pick a date range for your new Plan, using the date field or the calendar icon

Select your import strategy:
- One swimlane: brings all tasks into a single Swimlane
- By team: creates one Swimlane per team and imports tasks based on Team association

By category: lets you select the Swimlanes you created in your v3 Workspace, organized by Category from your Label menu
- Once you're happy with your selections, click “Import”
Path B:
Keep your whiteboard content
Choose this path if you want to hold on to your Boards, backgrounds, and other embedded materials.

Click the down arrow to the right of the Workspace title

Click “Control Center”
- Above the Control Center sections, click the switch to convert the Workspace from v3 to v4

Review the new secondary Control Center on the right to see your project data — Labels, Teams, Variance Reasons, and the new Calendars

Close the Control Center windows

Navigate to an empty area of your Workspace

Click the down arrow to the right of the Workspace Title
-
Click “Create plan from project tasks…”

Pick a date range for your new Plan, using the date field or the calendar icon

Select your import strategy:
- One swimlane: brings all tasks into a single Swimlane
- By team: creates one Swimlane per team and imports tasks based on Team association
-
By category: lets you select the Swimlanes you created in your v3 Workspace, organized by Category from your Label menu
- Once you're happy with your selections, click “Import”

Hover over the top of your new Plan until the cursor changes to a hand, then drag and drop it wherever you'd like it in your Workspace
- Remove the old v3 Plan from your workspace once you're ready
