Using Hoylu Workspaces in Microsoft Teams Meeting
As of April 2023, Microsoft Team users can collaborate with their teams using their Hoylu Workspaces without leaving the meeting or using another platform.
(Note: Prior to following these steps, you'll need to ensure you have completed Setting up Microsoft Teams & Hoylu Integration).
1. Join the Microsoft Teams chat or meeting as you normally do.
2. Once inside the meeting, you'll see the Apps icon. Select the Apps icon - you should see Hoylu, or you can search for Hoylu (Note: Prior to doing this, you'll need to ensure you have completed Setting up Microsoft Teams & Hoylu Integration).
3. Once you select Hoylu, you should already be signed in and can Create a Workspace or access a current Hoylu Workspace while in the Teams meeting.
(Note: To ensure you're already signed in, you'd have had to complete the Setting up Microsoft Teams & Hoylu Integration. If you haven't completed the initial setup, it will require you to log in using your Hoylu credentials.)
4. Once you select the Workspace, the Workspace will load. Make sure you hit the "Save" button, so the Workspace is shared to the chat or meeting.
5. Once you hit the "Save" button, the name of the Workspace, along with the Hoylu Logo, will appear in the top navigation bar of your meeting. You'll also see a side navigation bar open, as noted below. In this example, Template Components was the name of our Hoylu Workspace.
6. Once you're ready to share the workspace and present, click the "Share button" as shown below (red arrow). You can also begin to present your workspace by hitting the MS Team present icon.
7. While presenting in your Teams meeting, your team never has to leave the meeting to access the Hoylu platform. Instead, the entire team can work within Teams, via the shared screen that is presented.
8. If you'd like to focus on the Workspace, rather than see the camera or chat views, click the "Pop out" icon found in the upper navigation of your meeting. This will pop out the Workspace while the video and chat portion of the meeting is behind the main screen.
9. To stop sharing your Workspace Screen, simply click "Stop Sharing," found in the upper navigation bar of the meeting screen.
Special Note: In the current version of the Microsoft Integration, Jira and Agility integrations will not work within the App. Users must access their Hoylu Workspaces via a web browser to use the Jira or Agility integrations.
Using Hoylu Workspaces in Microsoft Chat
As of April 2023, Microsoft Team users can collaborate with their teams using their Hoylu Workspaces without leaving the Teams chat.
(Note: Prior to following these steps, you'll need to ensure you have completed Setting up Microsoft Teams & Hoylu Integration).
1. Click on the Chat icon within Microsoft Teams (found on the left navigation bar) and select the person or channel you'd like to begin the chat with.
2. You'll see a + icon in your screen's upper middle section. Select that + icon (add a tab).
3. Select Hoylu from the list of options (or type Hoylu in Search bar).
4. A pop-up box will appear, taking you automatically to your Hoylu Dashboard, where you can select the Workspace you'd like to share in the chat. (Note: For automatic log-in, you'll need to ensure you have completed Setting up Microsoft Teams & Hoylu Integration). Once you select the Workspace you'd like to share, make sure you have "Post to the chat about this tab" and click "Save"
5. The Workspace will automatically be shared with your team and shown as a tab on the upper navigation bar. In this example, Features & Priority was the name of our Workspace.
6. You can share and tab as many Hoylu Workspaces as you wish; however, they may not all appear in the upper navigation bar for immediate view. If you don't see your Workspace as a tab you may need to click the "More" arrow, to get a dropdown of available tabs. In this example, Template Components was the name of our Hoylu Workspace.
Special Note: In the current version of the Microsoft Integration, Jira and Agility integrations will not work within the App. Users must access their Hoylu Workspaces via a web browser to use the Jira or Agility integrations.
Removing a Shared Workspace as a Tab
If you no longer want a Workspace tabbed within a chat, meeting, or channel, you can remove it from the navigation bar. Note, this does NOT restrict individuals from accessing a Shared Workspace. This only removes the Workapce as a tab. To remove a user from a Shared Workspace, you'll need to follow the steps in the Editing Workspace Permissions and Sharing Knowledgebase article.
To remove a tabbed Workspace:
1. In the Microsoft Meeting Chat, 1:1 Chat, or channel, click the down arrow on the Workspace name you'd like to have removed. This will bring a dropdown box, as shown below.
2. Click Remove from the dropdown box. A confirmation box will appear to ensure you want to permanently remove the tab from the chat (you can always add it back later). Select "Remove"
3. The tab will automatically be removed from the navigation bar.
Note: The Microsoft Teams app integration with Hoylu is not yet available for our US environments. Our teams are working to add this to our future roadmap.
