You are able to bring in a variety of files into a Workspace, which will create a copy of that file for you to annotate or review. Note that this will not allow you to make edits to that document within the Workspace; please see this article to learn more about Embedded Portals.
You can bring in various files including:
- .JPG
- .PNG
- .SVG
- .CSV
- .ODT
- Office Documents (Word, PowerPoint, Excel)
✏️ Note: Multi-page documents will import vertically, with one imported page per Workspace Page.
There are three ways to import these types of files into a Workspace:
- Use the Import button
- Drag and Drop into the Workspace
- Copy and Paste into a Workspace (best for images)
Import
Use the Import button to browse through your device.

Navigate to the upper left corner of the screen

Click on the Import button
- Once the Import overlay appears, click on the Browse on Device button

Review your device's folders for the file you would like to import

Click on the File so it it is selected
- Click on the Open button
🚧 Caution: You can only import one file at a time.
Drag and Drop
If you have easy access to your file, you can drag and drop it directly into an open area of the Workspace.
Copy & Paste
If you found an image on the Internet that you would like to bring into the Workspace without having to save it on your device, this option is most convenient.

Choose an image you would like to import into the Workspace

Right-click on the image

Click on Copy Image

Switch back to the Workspace
- Right-click to paste or use the keyboard shortcut (Ctrl + V) to paste
Reload Images
You can re-load gray image placeholders without refreshing the whole browser by just clicking on the gray images.
Download Images

Right-click on any image
-
Click on the three-dot menu
- Click on Download Image
Alt Text
To assist with accessibility, you can add alternative text (or "alt text") as a substitute for the image, which can also be read aloud by screen readers for users with visual impairments. You can add it to images, gifs, Office documents, and even native Hoylu backgrounds.

Add your desired object to the Workspace

Right-click on the object

Click on the Alt Text icon in the middle of the context menu that appears
- Type your text into the window (max 500 characters)
Users in the Workspace will now be able to hover over the image and see the alt text you added.
If you enabled an API key in your Workspaces, Alt-Text will be automatically added to newly-imported images, which will enable terms used in the Alt-Text to be searched via the Search button or Ctrl/Command + F.
