Activities in Hoylu appear as darker-colored Tasks and have a snowflake icon on the right to indicate that these are "frozen" objects in the Workspace. They are only available as part of the importing process, through either .CSV files or .XER files and are not counted toward PPC.
In order to maintain alignment between the contract schedule and Hoylu, relevant Activities guide users to creating and executing their field plans, track variance, and also selectively update the master schedule, without accidentally changing anything.
Activities will also stand out in Overview Mode, appearing as dark bars with corresponding Team colors. Any Activities that have been manually rescheduled will also flag with a caution symbol to be marked for updates in the original master schedule.
Subtasks
Because Activities can also become the guide for users to build out day-to-day Tasks, Subtasks can also be used to facilitate this process. On a similar vein as Splitting Tasks, Subtasks are characterized by their connective yellow, dotted lines, but instead of the original Activity being split, Subtasks appear as separate Tasks, depicted in Figure 2.
-
Click or right-click on an Activity you would like to break down
-
Click on the Subtask icon in the Context Menu
-
Click on the next Subtask icon in the Subcontext Menu
- To create further one-day Subtasks, click on the dependency line and then click on the Subtask icon that appears
- Double-click into any of the new Subtasks to edit the team, title, description, and other Task information
When creating Subtasks off of a longer Activity, a chain is automatically created to connect all Subtasks to the original, and should any of the Subtasks lapse beyond the final day of the original Activity, both the Subtask and the Activity will highlight red in conflict (depicted in Figure 3) because of the automatic finish-to-finish dependency type.
If you wish to create Subtasks for the entire duration of the Activity:
-
Right-click on the Activity
-
Click on the three-dot vertical menu
-
Click on Create Subtasks
-
Decide how you would like the Subtask durations to be configured
- Click on the Create(number of Tasks) button
As part of best practices, go back into the Subtasks and modify the titles, descriptions, or teams to be as detailed as possible in the planning process.
Generate Subtasks (AI)
You can also have Hoylu use AI to automatically create specific Subtasks for a larger Task, assigning it to the correct trade and even ensuring that the sum of all the Subtasks is equal to the total duration of the original Task.
-
Right-click on a Task
-
Click on the leftmost icon on the Context Menu
-
Click on Generate Subtasks (AI)
- Review the newly-generated Tasks for errors and make any necessary adjustments
Predecessor & Successor
If you spot gaps in the work, you can also quickly add a predecessor and successor to the Activity.
-
Click or right-click on an Activity
-
Click on the Subtask Icon
- Click on the Predecessor (left icon) or Successor (right icon) in the Subcontext Menu, which will automatically create an upstream or downstream (respectively) Task, connected by a yellow, dotted line.
😎 Pro Tip: Subtasks are also available to use on regular Tasks, but it is up to you to decide if you want to use this option or create your own sequences. Check out this article to see how to draw dependencies between existing Tasks.
Rescheduling
The only modification that can be made to Activities involve using the Actual Start, Days, and Due fields within the Editor, which will adjust the Activity on the Timeline but also flag it with a red border and a caution symbol so it can be updated within the master schedule.
-
Double-click on the Activity
-
Click in any of the three available fields to modify the Activity
- Click the Save & Close button
